POSITION OVERVIEW
The Executive Assistant to the Deputy Director (DD) is a new position that has been created to provide comprehensive administrative support to the DD. The Executive Assistant provides high-level administrative support to the DD by supporting the DD in all aspects of her work, preparing reports, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings and travel for DD and possibly other staff, oversight of some clerical/administrative staff, and taking on special projects.

Classification: Full-time (1.0 FTE), Exempt
Reports to: Deputy Director
Worksite: AMS Headquarters in New York City

SPECIFIC AREAS OF RESPONSIBILITIES INCLUDE:

  • Coordinate communications, including taking calls, responding to emails, and interfacing with staff, committees, and membership
  • Prepare internal and external documents and correspondence to staff members and stakeholders
  • Schedule meetings and appointments, book and manage travel itineraries for DD as well as other staff
  • Assist in arranging corporate events to take place inside and outside of the work place
  • Maintain an organized filing system of paper and electronic documents – file and retrieve
  • Review incoming correspondence, including mail, faxes, and email
  • Work closely with DD on special projects such as research projects
  • Prepare analytic reports based on research
  • Uphold a strict level of confidentiality
  • Assist DD in all aspects of human resource tasks
  • Responsible for oversight of office clerical and maintenance staff
  • Develop and sustain a level of professionalism among staff, membership, and stakeholders

QUALIFICATIONS
The Executive Assistant role requires a high level of professionalism, discretion, and self-initiative.

Additional desired qualities include:

  • Must possess solid strong organizational skills, and be detail oriented
  • Proficiency in Microsoft systems (Outlook, Work, Excel, PowerPoint, and Access) is expected
  • Database experience a plus
  • High level of ability in effective and succinct communication, written, and oral preferred
  • Superior attention to detail and accuracy in all aspects of work
  • Excellent time management skills
  • Ability to work independently and also effectively with DD and as part of a collaborative team
  • Ability to effectively manage multiple priorities simultaneously
  • Desire to seriously partner with DD
  • Pleasant diplomatic manner and disposition with colleagues at all levels, with the external partners of AMS, and with the general public
