POSITION OVERVIEW

The Executive Assistant to the Executive Director (ED) is a new position that has been created to provide comprehensive administrative support to the new ED, who began August 1, 2017. The Executive Assistant provides high-level administrative support to the ED by preparing reports, engaging with the community through social media, handling information requests, performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings and travel for ED, and research and report writing.

Classification: Full-time (1.0 FTE), Exempt
Reports to: Executive Director
Worksite: AMS Headquarters in New York City

SPECIFIC AREAS OF RESPONSIBILITIES INCLUDE:

  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with membership.
  • Assist with Executive Director social media accounts
  • Screens all incoming calls to Executive Director and acts as “gatekeeper”
  • Prepare internal and external documents and correspondence to staff members and stakeholders
  • Schedule meetings and appointments, book and manage travel itineraries
  • Assist in arranging corporate events to take place inside and outside of the work place
  • Maintain an organized filing system of paper and electronic documents – file and retrieve
  • Review incoming correspondence, including mail, faxes, and email
  • Work closely with ED on special projects such as research projects
  • Prepare analytic reports based on research
  • Uphold a strict level of confidentiality
  • Develop and sustain a level of professionalism among staff, board of directors, membership, and stakeholders

Qualifications

The Special Assistant role requires a high level of professionalism, discretion, and self-initiative.

Additional desired qualities include:

  • Must possess solid mathematical skills, strong organizational skills, and be detail-oriented
  • Proficiency in Microsoft systems (Outlook, Work, Excel, PowerPoint, and Access) is expected
  • Database experience a plus
  • High level of ability in effective and succinct communication, both written and oral, preferred
  • Experience with Twitter and other social media platforms preferred
  • Superior attention to detail and accuracy in all aspects of work
  • Excellent time-management skills
  • Ability to work independently and also effectively as part of a collaborative team
  • Ability to effectively manage multiple priorities simultaneously
  • Pleasant diplomatic manner and disposition with colleagues at all levels, with the external partners of AMS, and with the general public
